Chapter 14 · 14.7
Permissions: who manages what in your Nextcloud?
In your WebOké Nextcloud there are three roles: WebOké, the owner of the package and the users. Knowing who does what saves you a lot of searching. In short: the owner manages the package in My WebOké, each user manages their own stuff in Nextcloud, and we manage the server itself.
| Who | What | Where |
|---|---|---|
| WebOké | The server, security, updates, backups, which apps are available and the settings of Nextcloud itself. We also create team folders. | On our servers |
| Owner of the package | Creating and removing users, resetting passwords, Office licences, storage, the address, starting the update, the AI Assistant | My WebOké, on the package page |
| Each user | Own files, sharing, own calendars and contacts, profile, password, two-factor authentication, app passwords | In Nextcloud, under Settings |
Nobody is an administrator in Nextcloud
Even as the owner, you're just a regular user in Nextcloud. So you won't see any admin settings, you can't install apps, and you won't see other people's files unless they share them with you. This way, everyone's work stays their own. If a family member or colleague needs a new password, you help them via User management in My WebOké (Creating, editing, disabling and deleting users).
Want to know which groups you belong to? In Nextcloud, click your profile picture in the top right corner and choose Settings. At the bottom of the Profile & contact page, under Your groups, you'll see which groups you're in. The office group means you have an Office Suite licence. The other group, with an h and a number, is your package group; you don't need to do anything with it.
Team folders
A team folder is a shared folder that belongs to the team rather than to one person. It stays in place if someone leaves, and it has its own storage. Only an administrator can create team folders. With a WebOké Nextcloud, that's us.
- Want a team folder? First create a team in Nextcloud with the people who need access (Creating teams and sharing a folder with your whole team). Then request a team folder via a ticket, including the name of the folder and the name of the team.
- Want to get started right away yourself? Create a regular folder and share it with your team. When you create such a folder in the Teams app, you'll see a message saying that it will become a regular shared folder and that you should contact the administrator for a team folder. That's correct: a regular folder stays with whoever created it.
You can read about the difference between a shared folder and a team folder in Team folders: a shared folder that belongs to the team.
Missing an app?
Our Nextcloud packages come with a fixed set of apps (see Which apps are included in my package?). If you're missing an app, let us know via a ticket. We'll check whether it fits in with our packages and our technology; we can't promise it will be added.
