Chapter 6 · 6.6
Backups with WebOké: what we keep and what you can do yourself
The backup you use yourself is built into your WebOké Nextcloud: the trash (Deleted files) and the versions of your files. With these, you can restore files, folders and older versions yourself, without needing anyone's help.
What you can restore yourself
| What happened? | Solution |
|---|---|
| File or folder accidentally deleted | Restore it from Deleted files, see Recovering a deleted file from Deleted files |
| File overwritten or changed incorrectly | Restore an older version, see Restoring an older version and naming versions |
| Someone removed a file from your shared folder | It's in your Deleted files if you're the owner, see Recovering a deleted file from Deleted files |
You can read how long deleted files and versions are kept in How long does Nextcloud keep versions and deleted files?. In short: deleted files and versions are kept for up to 31 days, and removed sooner if space is needed. Named versions are kept.
WebOké's system backups
WebOké also makes backups of the servers themselves. These serve as an extra safeguard against emergencies, such as a faulty server. They're not accessible to customers: you can't restore anything from them yourself. For your day-to-day work, rely on the trash and versions instead.
What you can do yourself
- Keep your own copy of important files: for files you really can't afford to lose, keep a copy yourself as well. For example, using the Nextcloud Files desktop app on your computer (Why the desktop app? Browser, app or network drive): include that folder in your computer's backup, or copy it to an external drive now and then.
- Give important versions a name, so they're not cleared out automatically (see Restoring an older version and naming versions).
- Don't delete things permanently too quickly: anything you delete from Deleted files, or remove using Empty deleted files, can no longer be restored by you.
- Be careful with sharing: only give editing rights to people who really need them (see Sharing with a user from your own Nextcloud).
- Transfer ownership before a user is deleted, because a deleted user is removed permanently along with all their files (see Transferring ownership when a colleague leaves).
Please note: end-to-end encrypted folders can't be read by anyone but you, not even WebOké. If you lose the key, those files can no longer be opened. Read more about this in End-to-end encryption: when to use it, and when not to.
