Exporting your data from Nextcloud: files, calendar, and contacts
Want your own copy of your Nextcloud, or switching to another service? Your WebOké Nextcloud works with open standards, so you can get everything out yourself: files as regular files, calendars as .ics files (iCalendar) and contacts as .vcf files (vCard). Virtually any calendar and address book program can read these formats.
Calendars and contacts are per user. If your package has multiple users, everyone exports their own calendars and address books, or you do it together per user.
Files
With the desktop app (handy for lots of files): install the Nextcloud desktop app on your computer and have your files sync to a folder on your computer. Then copy that folder to an external drive or to your new service. Switching to another Nextcloud? Then add both as an account in the app and copy from one folder to the other, see Multiple accounts and folders in one app.
In the browser (handy for a few folders): in Files, click the three dots next to a folder and choose Download. You'll get one zip file with the entire folder. Multiple files at once: tick them, click the three dots at the top and choose Download. See Uploading and downloading, including large files, entire folders and zip.
Shares and public links don't come along. You'll need to create those again at your new service.
Exporting calendars
- Open the Calendar app.
- In the My calendars list, hover over a calendar and click the pencil. The Edit calendar window opens.
- Click Export at the bottom. This downloads all appointments of that calendar as an .ics file.
- Repeat this for every calendar. Each calendar becomes its own file, so you can also import them separately at your new service.
See also Sharing calendars, making them public and putting them on your website.
Exporting contacts
- Open the Contacts app and click Contact settings at the bottom left.
- Under Address books, each address book has a menu (the three dots). Choose Download.
- You'll get the entire address book as a .vcf file. Do this for every address book.
See Contacts: creating, groups, importing and exporting.
Other apps
| App | What you'll take with you |
|---|---|
| Notes | Each note is a regular text file (.md or .txt) in the Notes folder. That comes along with your files. |
| Deck | Click the three dots behind a board and choose Export the board. You can import that file into another Nextcloud with Import board. See Deck: boards, lists and cards, and using them together. |
| Tables | Export a table as a csv file. See Tables: lists and small databases without a spreadsheet. |
| Talk | Files you've uploaded in a conversation are stored in the Talk folder in Files and so come along. See Sharing files and viewing them together in a conversation. |
| Photos | Your photos are regular files and come along with your files. |
Check your export
An export is only good if you can open it somewhere else. So before you cancel or delete anything, check:
- Files: are all the folders there, and is the total size roughly equal to what the Storage space counter shows on your package page? Open a few documents and photos.
- Calendar: import the .ics file into another calendar program. Are the appointments at the right time, and are recurring appointments correct?
- Contacts: open the .vcf file in another address book. Is the number correct, and are the phone numbers with the right names?
